APW News: Minutes
Arkansas Press Women met at 3:45 p.m. on Saturday, Oct. 4, 2003, following the fall professional improvement conference at the Embassy Suites Hotel in Rogers, Ark. First vice-president Trina Holman presided in the absence of the president. Board members present: Board members absent: Committee chairmen present: Others present included APW members and visitors who stayed after the conference. Roberts recorded minutes of the meeting, in the absence of the secretary. Treasurer's Report Debbie Miller presented a
treasurer's report sent by Terry Hawkins with information
as of Oct. 3, 2003. The total is about $1,700 more than the total one year ago on Oct. 4, 2002. Income and expenses for the fall conference have not yet been tallied. Old Business AHSPA: Jennifer Fulford noted that Eva Marie Pearson had asked that APW participate in some way to recognize the 75th anniversary of the Arkansas High School Press Association. Fulford moved that we authorize Pearson to spend up to $200 as she decides is best to recognize the 75th anniversary of the Arkansas High School Press Association. Michelle Parks seconded the motion. The motion carried in a voice vote. Fulford agreed to pass the information on to Pearson. Past President Project: Jennifer Fulford reported that she had received information on approximately six employers that members would like contacted to encourage them to pay dues, contest fees or conference expenses. She had not yet contacted employers. New Business: Awards Luncheon: Based on the availability of the dining hall at St. John Center, Emily Roberts had submitted two possible dates for the 2004 awards luncheon to board members for comment. Roberts moved that the 2004 awards luncheon be held Saturday, June 26, 2004, at St. John Catholic Center in Little Rock. Judy Howard seconded the motion. The motion carried in a voice vote. Marcia Shuler, NFPW secretary and chairman of the First Amendment Network, has expressed an interest in coming to Arkansas. Trina Holman, wearing her luncheon chairman hat, will invite her to the 2004 awards luncheon. Member Survey: Trina Holman, wearing her membership chairman hat, passed around a membership survey she developed, proposing to request information from current and former members about their participation, needs and expectations of APW. Discussion of member recruiting and retention brought out many ideas for both. There appeared to be a consensus that personal contact from a member is the most effective means of recruiting, particularly using the fold-over calling card now available. A membership brochure has also been developed in the past, and is believed to be among the president's materials given to Audrey Watkins. Holman agreed to contact Watkins to obtain a copy of the brochure and see if it could be updated for current use as an additional recruiting tool for members in their personal contacts. Emily Roberts agreed to act as collection point for prospect names and addresses to be added to the newsletter mailing list for the winter issue, which includes contest information. Rose Ann Pearce moved that Holman conduct a survey of current and former members using the document she developed, with notice given in the newsletter and the survey mailed separately with a pre-addressed reply envelope; and that PDF and plain text versions of the survey be available for distribution by e-mail in response to requests. Debbie Miller seconded the motion. The motion carried in a voice vote. Communications Contest Judging: Debbie Miller noted that two new communications contest co-directors are now in place: Teresa Newton and Rebecca Tyson. She reported that Kansas Professional Communicators has agreed to judge our contest entries for 2004, and may ask us to judge theirs. Rose Ann Pearce moved that we judge contest entries for Kansas Professional Communicators if requested. Michelle Parks seconded. The motion carried in a voice vote. Information Items National High School Contest: Michelle Parks reported she had just received information that Hanna Ricketson of Bryant and Crishuna Scott of Little Rock were winners in the NFPW high school journalism contest. She will provide details to be posted on the APW web site. Adjournment No additional business was proposed for consideration. Emily Roberts moved to adjourn. Rose Ann Pearce seconded the motion.
