Minutes of the APW meetings May 17, 2003

May 17, 2003

Arkansas Press Women Board of Directors met Saturday, May 17, 2003, at St. John's Catholic Center at 11 a.m. Present were Trina Holman, Judy Howard, Debbie Miller, Michelle Parks, Carol Sanders Reiner, Emily Roberts. Susan Thielemier, new member Tanya Smith and Jennifer Fulford, who presided.

State officer job descriptions - President Fulford said she has been searching the constitution and bylaws to determine where the communications contest chairman fits in, since the job is, perhaps, one of the most labor intensive.

Debbie Miller pointed out that even though various persons may handle some of the tasks, a contact person is necessary. One of the hardest tasks has been getting a current list of members, especially new ones, so that APW can be sure they have contest info.

Fulford said that Barbara Nielson has indicated an interest to helping so the contest chairman could work with her. Fulford said that she is leaning towards asking Becky Tyson if she will serve as contest chairman so that Debbie Miller can be relieved of some of the contest duties.

Fulford said that Tina Paul is resigning as Scholarship Chairman. Roberts said that someone in academia would be a good choice as scholarship chairman.

Membership Recruitment - Members will be urged to pick up 10 APW business cards to distribute to 10 prospective members. Lapsed members will also be sent reminder letters and invited to the fall conference.

High School Contest - Michelle Parks, high school contest chairman, said that there's no mention in contest guidelines re: number of entries per person per category. She asked that the number of entries per person be limited to two per entry. Fulford said that she would be sure the new high school contest chairman was aware of this and have the web madam include the limit of entries in the information on the web.

Financial Report - Terry Hawkins distributed the attached financial report. In brief APW is in good financial shape with $5,764.25 in its checking account. APW would be in much better shape, but low interest rates are the culprit. Fulford asked about the status of APWs contribution to Arkansas Press Association's building fund. Hawkins said that APW has only donated $250 of its pledge of $1,000. Fulford moved that APW donate $100 to Camp Aldersgate in memory of Anale Yarbrough. Seconded by unanimous affirmation.

Past President Project - Fulford announced that she would like to take on a past president project - to phone or mail designated employers to urge them to help foot the costs of membership and/or contest fees.

Fall Conference Date -The Fall Professional Improvement Conference will be in northwest Arkansas on the weekend of Oct. 3.

Nominating Committee - The Nominating Committee consisting of Jennifer Fulford, Brenda Blagg and Helen Plotkin submitted the following slate of officers:

Reiner reminded the board that selection of a Communicator of Achievement candidate be placed on the October agenda to allow time for adequate preparation of the packet. Also, she requested a co-chairman. The board instructed her to check national rules to see if Pearl Serbus could be resubmitted as she certainly deserves to be a national Communicator of Achievement.

Arkansas Press Women met Saturday, May 17, 2003, at St. John's Catholic Center at 12:50 p.m. President Jennifer Fulford presided.

FOI Update - Fulford presented a report from Brenda Blagg, who was attending a national FOI conference. She said that the FOI Coalition is seeking to bring younger people into the coalition. Many times younger folks are more likely to follow recommendations of school superintendents, councilmen etc when it comes to freedom of information. Their opinions are usually not in line with the principles of freedom of information.

Recruitment Tool - Members were urged to pick up 10 APW business cards to distribute to 20 prospective members. Lapsed members will also be sent reminder letters and invited to the fall conference.

Past President Project - Fulford said that she is taking on a past president project -- to phone or mail designated employers to urge them to foot more costs of membership and/or contest fees. If members wish to have their employer contacted, they should notify Fulford and she will follow up.

Scholarship - APW gives one $500 scholarship. Fulford asked if members wanted to either increase the amount of the scholarship or else add another scholarship. Members wanted to add another scholarship. Emily Burgin Roberts moved that APW award a second $500 scholarship along with a one-year membership. Seconded by Carol Griffee. Motion carried.

Delegates - Fulford asked who would be attending the national conference in Delaware. Eva Marie Pearson and Ouida Cox are planning to attend. Carol Sanders Reiner said that she might be attending. Those attending will be designated delegates.

Professional Improvement Conference - The fall conference will be in northwest Arkansas the weekend of Oct. 3. Conference planners are trying to get Marsha Schuler, NFPW First Amendment Network director.

Treasurer's Report - A written report was submitted. In brief, APW had a balance of $5,764.24 in its checking account as of May 17, 2003. The total in all deposits is $24,473.91.

75 Years Old – Eva Marie said that the High School Press Association will be 75 years old next year. Fulford said that it would be discussed at the fall meeting.

Scholarship Winner - This year's scholarship winner is Jerrica Hutchinson, opinion editor on the staff of the Arkansas State University Herald. She interned at a Chicago magazine.
